These Booking Conditions apply to the person making the booking and all other persons on whose behalf the booking is made.

Please read these Booking Conditions carefully. They apply to all bookings made through Travel-Buddies/Concierge Services who are acting as agents on behalf of all of the suppliers (including travel agents, airlines, tour and cruise operators, car hirers and accommodation providers) in your booking.

You are contracting with the suppliers, whose terms and conditions apply to your booking. Copies of those terms and conditions are available upon request.

These booking conditions govern your relationship with Travel-Buddies/Concierge Services.

The person making the booking must be at least 18 years of age and must be authorised to make the booking on behalf of the members of the party. The person making the booking must also provide a copy of these booking conditions to the other members of the party.

The Contract - After you have paid your deposit or full payment, a contract will exist between you and each of the suppliers, effective from the date printed on your invoice. The terms and conditions of each supplier you have booked with will apply to your booking. Once the contract(s) is made, the airlines, accommodation provider and any other supplier is responsible for providing you with what you have booked.

Agency – Travel-Buddies/Concierge Services acts as an introducer to travel services. We arrange travel services on behalf of suppliers such as airlines, tour and cruise operators, car hirers and accommodation providers. In doing so Travel- Buddies/Concierge Services gives no warranty nor makes any representation regarding the services to be supplied or the products purchased by you. Your booking will be subject to the terms and conditions applied by the provider of the service or products. You agree that if the travel services or products are not supplied in accordance with your booking your remedy lies with the service provider and not Travel-Buddies/Concierge Services.

Services Provided-Travel-Buddies/Concierge Services, offers a Travel Companion/Travel Guide who will travel with you and assist you with day to day travel arrangements. They will not have full knowledge of the location such as a local guide, but should be able to provide you with useful knowledge and information in respect of your chosen destination, they are not likely to be fluent in all languages, but will have access to on-line translator services.

Disabilities -Travel-Buddies/Concierge Service will do their utmost to accommodate those with limited mobility, but we must state this has to be at our discretion. We are not trained carers or have any skills such as lifting and mobility needs. If you have a carer they are most welcome to accompany you and obviously this will be an additional cost, this is for your safety and ours.

Health/European Breaks- Your health and wellbeing is our priority, so we suggest you discuss any foreign travel with your G.P. and family or friends prior to embarking on any Overseas Travel, appropriate Travel Insurance will be offered within your quotation. We would ask that you advise us of your Next of Kin in the event of any accident or illness occurring whilst you are away.

If we are unable to offer an overseas break, a U.K. breaks may still be available  

Prices - Every effort is made to ensure that the prices quoted to you are correct; however, Travel- Buddies/Concierge Services acts only as an agent and relies on information provided to us from the suppliers of the travel services and products. We will bring to your attention any change in price made prior to you completing your booking and paying the balance of the price. Please note some tour operators and travel service providers reserve the right to increase the price of your travel arrangements due to increases in airfares, hotel accommodation charges and currency fluctuations.

Airfare Conditions - Many airfares are subject to strict conditions regarding amendments, cancellations and refunds. In addition, airlines impose taxes fees and charges. It is your responsibility to ensure the type of airfare you purchase is suitable for your needs.

Airline Taxes and Fuel Surcharges - All airfares are subject to taxes and charges levied by both government and the airlines themselves; in addition, global fuel costs are constantly increasing. Airlines pass on the increase in taxes and fuel surcharges without notice and whilst we will endeavour to advise you of these charges in advance that may not always prove possible. Travel- Buddies/Concierge Services reserves the right to pass on fuel and tax increases, levied by airlines, without notice.

Airline E-tickets - International and domestic airlines are replacing paper tickets with electronic tickets called e tickets. All passengers travelling on an e ticket will be required to produce photo identification at check in.

Airline Schedules - The airline on which you are booked may change its departure time. It is your responsibility to contact the airline to check there has been no change to the time of departure.

Alterations made by you - If you want to change any part of your booking, we will do all we can to help. However, the suppliers are under no obligation to make any change, although with reasonable notice (usually more than four weeks), changes may be possible. If a supplier is able to make a change, there may be a charge for this, which you will be informed of prior.

Cancellation Fees - If you cancel your booking you may incur a cancellation charge. The amount of this charge will vary depending on when the cancellation is made and the terms and conditions of the supplier of the travel services or product. If you are entitled to a refund, please note Travel-Buddies/Concierge Services is unable to provide you with refunds they are received direct from the supplier. Travel-Buddies/Concierge Services may charge a cancellation fee per booking as set out in the attached schedule of fees.

Liability - As Travel-Buddies/Concierge Services are acting as agent’s we have no liability in respect of the supply of any element of your booking, including any liability for illness, personal injury, death or loss of any kind, delay and inconvenience caused directly or indirectly by any provider of travel services or products or by other third parties unless caused by our negligence. Any claim for damages for injury, illness, loss or death must be brought against the relevant supplier of the travel services or products.

Nothing in these terms and conditions shall be read as excluding, restricting or modifying rights, legislation given to consumers in relation to the supply of goods and services.

Force Majeure - Travels-Buddies/Concierge Services shall not be liable for any loss or damage incurred by you as a consequence of Travel-Buddies/Concierge Services or any of the suppliers being unable to perform its obligations under your contract(s) due to the unusual or unforeseeable circumstances (a “force majeure event”) beyond the control of the party affected by the force majeure event.

Travel Insurance - Travel-Buddies/Concierge Services strongly recommends that you take out comprehensive travel insurance at the time of paying a deposit. The policy should provide cover for loss of deposit, cancellation and additional expenses, medical expenses and repatriation and loss or damage to baggage and valuables. You are responsible for making any special or increased insurance arrangements which you deem are necessary.

Travels-Buddies/Concierge Services strongly recommends travel insurance be taken out prior to any holiday.

Passport and Visas - It is your sole responsibility to ensure you have a valid passport at the time of travelling and that you hold all necessary visas and permits. All U.K. Residents must hold a valid passport for international travel. Some countries require you when entering to hold passport with at least six month’s validity. We will advise you on these points and make arrangements as required, as part of our service.

Complaints - We hope you will have no reason to complain but if you are unhappy with any aspect of the services provided by Travel-Buddies/Concierge Services you must report it immediately to Travel-Buddies/Concierge Services (our contact details are at the bottom of this document). We shall attempt to resolve the matter immediately but if you remain dissatisfied you must write to us within 7 days from the end of your trip or holiday. It is essential you raise any complaints whilst on your holiday/daytrip immediately so we are able to address them and resolve them as quickly s possible. Failure to complain at your destination may mean we will be unable to resolve the dispute after you return home.

Complaints (2) – Travel-Buddies are introducers to travel Services/Providers/Companies and your contact is with the provider direct. All complaint is respect of the service they provide should be made direct to the provider, with copies to Travel-Buddies/Concierge Service. We offer assistance to you with this process.

Data Protection - In order to process your booking, we may need to pass your details to the relevant suppliers. We will take all reasonable precautions to ensure the security of that information. We may also use the information you provide for marketing purposes from ourselves we will not pass or sell this information on to any third parties. If you do wish to receive any further information from us, please inform Travel-Buddies/Concierge Services at the time of your booking.

General – Travel -Buddies/Concierge Services reserves the right to alter these terms and conditions at any time.

Governing Law - Your contract with Travel Counsellors is governed by the laws of the United Kingdom and E.U. regulation and you agree to submit to the jurisdiction of the courts of the United Kingdom & E.U. regulation to determine any dispute pertaining to the contract.

Schedule of Fees

Bookings and Service Fees –  As per requirements of provider’s you will be clearly notified prior to making any booking of all charges.

Amendment Fees & Cancellation Fees – As requirements of provider’s you will be clearly notified prior to making any booking Amendment and Alterations charges. 

Travel Agents/Airline/Booking Services Fees & Commissions

Travel-Buddies/Concierge Services normally does not receive any fees or commissions from any of the above or any other type of provider. If we do in any instance you will be notified prior to booking of any commissions or fees we have received from your transaction. Some of the above will receive a commission from your booking, please make enquires direct with these providers, if you require this information.                Travel -Buddies/Concierge Services does not have access to this information and receives no remuneration from these sources.

Travel-Buddies/Concierge Services. Fees– You will be charged a standard rate of £8.00 per hour for the first person making the booking, subsequent persons will be charged at a rate of £4.00 per hour. (i.e. 3 clients travelling together would be charged £16.00 per hour  combined). These fees are a guideline and may alter pending on destination and size of parties. You will be notified in writing prior to booking of any variations.

You will also cover the costs of the travel/ accommodation/breakfast of your Travel-Budd.(Your Travel-Buddies will be happy to stay in Budget accommodation if required) should you wish to reduce costs.

Cost that are incurred in addition to the above such as entry to museums, events. historical sites, travel, etc. Must be paid to your Travel-Buddy or direct to facility at your location prior to booking. 

Travel-Buddies/Concierge Services have the right to apply service fees in addition to those by airlines, tour operators and other services providers that you may use as part of your travel arrangements handled by Travel -Buddies/Concierge Services. You will be clearly advised of these prior to any additional bookings/services being provided. 

Permissions -Travel-Buddies/Concierge Services acts as an agent/introducer on behalf of airlines, tour operators, travel agents and other service providers. Travel-Buddies/Concierge Services does not accept monies in respect of Overseas travel arrangement made by our providers/agents, these must be paid direct to those accepting the booking. All overseas holidays will be protected by ATOL/ABTA if there is any variation to this you will be provided with that information prior to booking and the reason why this is, you will then have a choice if you wish to proceed.

In respect of U.K. holidays, short breaks, day trips bookings are made direct with Travel-Buddies/Concierge Services, will require a 20% (non refundable) deposit paid at the time of booking and full payment 5 working days prior to commencement of the service booked with Travel-Buddies/Concierge Services. Your Consumer Rights apply to all our services, under U.K. European Law. Travel-Buddies/Concierge Services are not members of any trade /regulatory/voluntary bodies or organisations. 

Please ensure you are issued with a receipt in all instances. 

These conditions apply to yourself, your family or travelling companions that you represent or make payments on their behalf. Our professional Travel-Buddies/Concierge Services will advise and provide you with all the relevant documentation and schedule of fees prior to your financial commitment being made.

Two copies of these Terms & Conditions have been handed to you, one is for your records and should be kept safe. The other returned prior to any booking being made or monies taken.
